VibePolis is a product of ECEP Technologies Limited — a citizen communication and incident intelligence platform provided to public organisations. By using a messaging channel (Messenger, Viber, WhatsApp) connected to a VibePolis-powered organisation, or by accessing the VibePolis administration interface, you agree to these Terms of Service.
VibePolis enables citizens to send questions, fault reports, and service requests to public organisations via existing messaging apps. The platform provides automated AI-assisted responses as well as routes messages to organisation staff where appropriate.
Information provided by the VibePolis AI assistant is for guidance only. It is not legally binding and does not constitute an official response from the relevant organisation unless explicitly confirmed by an authorised representative of that organisation.
Do not send sensitive personal data — including national identification numbers, payment card details, passwords, or health information — through chat conversations. The platform is not designed or secured to process such data via messaging channels. Organisations are configured to advise citizens of this at the start of each conversation.
Incident or fault reports submitted through the platform (including any location information or photos you voluntarily provide) may be forwarded to the relevant public organisation for review and action. By submitting a report, you consent to this forwarding.

We reserve the right to block access for users or organisations that violate these terms.
We aim to maintain high availability of the platform but do not guarantee uninterrupted access. Maintenance windows, technical incidents, or external service dependencies (including messaging platform APIs) may result in temporary unavailability.
To the maximum extent permitted by law, VibePolis and its operators are not liable for any direct, indirect, incidental, or consequential damages arising from your use of the platform or reliance on information provided through it. Liability for any claim arising from these terms shall not exceed the fees paid by the relevant subscribing organisation in the preceding 12 months.
We may update these Terms of Service from time to time. Continued use of the platform after changes are published constitutes acceptance of the updated terms. Material changes will be communicated to subscribing organisations.
